Entry Fees
$6 per person. Entries close at 5pm Monday 15th April 2024. No late entries will be accepted.
How to Enter
You must enter through your school. For all teachers/schools who are wanting to enter a group please email info@eventpromotions.co.nz for the entry information. There is no limit to the number of students you can bring to the event. All schools will be invoiced after the event for the number of students you bring.

Venue
Rotorua Energy Events Centre, Queens Drive, Rotorua
Marshals
All schools must provide at least one marshal. Please ask marshals to be ready for a 9.15am briefing at the Event Promotions stage truck near the start/finish line. Marshals are required to bring a water bottle to keep hydrated and a mobile phone for back up incase of an injured runner although RT’s are provided.
Bus parking
Buses may drop students off at the front of the Energy Events Centre. All buses are to then park on Hautupatu Drive around the back of the Rotorua Energy Events Centre. This is limited parking in the Rotorua Energy Events Centre car park.
Spectator parking
Telly Tubby Hill field (via Memorial Drive) will be open for spectator parking ONLY until the first race kicks off and then it will be closed. There will be no parking available for spectators inside of the Rotorua Energy Events Centre car park, one side is restricted to school bus drop-off and pick-ups and the other for schools to gather for the event. Please advise your parents/caregivers/spectators of this.
Cancellation
In the event of extreme weather a notice will be placed in the following two places:

Race numbers
Race numbers will be couriered or dropped to your school prior to the event day. Race numbers are to be worn on the front of the competitor’s t-shirt and can be kept as a souvenir after the event.
Certificates
Participation certificates for all children will be available online to download. A post event email will be sent out to all teachers with the link for this. Otherwise they can be found on the ‘certificates’ tab.
Course map/ Instructions
The course will be fully marshalled and clearly marked on the day. Please instruct participants to follow the marshal’s directions.
Course etiquette
The course is open to the general public throughout event – be courteous and aware at all times. If you come up behind someone and wish to pass on a narrow road please call out that you wish to pass. There are to be no headphones worn during the event.
Toilets
Are located in the Rotorua Energy Events Centre.
First Aid and safety
Peak Safety will be available throughout the day for any medical issues but we ask that all schools bring their own first aid kit. Please inform event organisers if any of your children have a pre-existing medical condition. Ensure all competitors are well hydrated, have plenty of sunblock and bring a sunhat. Most of the course is completed on public roads/gravel tracks – all competitors must wear shoes on the course. We also recommend bringing suitable clothing for after the event (Eg. A jersey in case it gets cold).
Prize giving
Prize-giving will be held outside the Event Promotions stage truck near the start/finish line at 11.15am upon the completion of the event. Or inside the Rotorua Energy Events Centre if it’s wet. Spot prizes will be randomly drawn and handed out to children at prize giving.

11.15am: Prize-giving
All children will be separated into their year groups (year 1, year 2, year 3 etc) and will be sent off in waves of 50 – 75 children at a time for safety reasons and to avoid course congestion.
Withdrawals and Refund Policy
- Any withdrawals must be notified to info@eventpromotions.co.nz BEFORE 9:00am, 7 days prior to event date to receive a refund on the entry fee.
- Any withdrawals notified to info@eventpromotions.co.nz AFTER 9:00am, 7 days prior to event date will not be entitled to a refund, no exceptions.
- In the case of a natural disaster, closure of the course due to high winds or other uncontrollable factors, “Act of God” conditions causing the cancellation of the event, entry fees will not be refunded
Transfer Policy
- All person-to-person transfers can be made until Monday 15th April. After this date, they must be done on event day.
- You cannot transfer an entry to another event or following year under any circumstances.

There will be no official event photographers/videographers at the event so feel free to take your own photos. We (Event Promotions) will however be capturing some photos/videos of the event which will be made available to view here shortly after the event.
